Automated Tasks & Workflows

Set it up once. Let the system do the rest.

Every time a case moves to Pre-Litigation, someone has to remember to send the representation letter, request the police report, open the insurance claim, and schedule the client consult. Multiply that by 200 active cases and you have a recipe for missed steps and malpractice exposure. inTrial automates it all — define your workflow once, and the right tasks are created, assigned, and tracked every single time.

Tasks that create themselves

When a case moves to a new stage, inTrial automatically creates every task that stage requires — with the right assignee, the right due date, and the right priority. Your team opens their task list and knows exactly what to do. No more morning meetings to assign work. No more "did anyone send the rep letter?"

  • Tasks auto-created with assignee, due date, and priority when a case changes stage
  • Role-based assignment: tasks route to "the paralegal on this case" automatically
  • Relative due dates: "3 days after stage change" or "14 days before trial"
  • Lightning bolt icon marks auto-generated tasks so your team knows the system is working

Stage-based automation

Build workflow rules with a simple trigger-and-action model. When a case enters a stage, fires a set of actions — create tasks, send notifications, update fields, or move the case forward. Different case types can have completely different workflows, all managed from one configuration screen.

  • Visual rule builder: pick a trigger, define the actions
  • Per-case-type workflows: auto accidents, trucking, premises liability each get their own
  • Relative deadline calculations tied to accident date, SOL, or stage entry
  • Clone and modify workflows as your firm processes evolve
Workflow Rules

Nothing falls through the cracks

The task dashboard gives you a firm-wide view of what is getting done and what is falling behind. See overdue tasks, team workload distribution, and completion rates. Managing partners can spot bottlenecks before they become problems, and paralegals can prioritize their day in seconds.

  • Overdue task alerts with escalation to team leads
  • Team workload visualization to balance assignments
  • Completion rate tracking to measure team performance
  • Due-this-week view for daily prioritization

Key capabilities

Zero-Touch Task Creation

When a case moves stages, every required task is automatically created with the right assignee and due date. Your team never has to manually create routine tasks again.

Case-Type Workflows

Auto accidents, trucking, premises liability, and medical malpractice each have different steps. Configure separate workflows for each case type your firm handles.

Escalation Alerts

When a task goes overdue, the assignee gets reminded. If it stays overdue, the team lead is notified. Nothing sits idle without someone knowing about it.

Workload Balancing

See how many open tasks each team member has across all cases. Reassign work with a click to prevent bottlenecks and keep cases moving.

Relative Deadlines

Set due dates relative to milestones — "7 days after demand sent" or "30 days before trial date." Deadlines calculate automatically as dates are set.

Performance Tracking

Track task completion rates, average time-to-complete, and on-time percentages. Identify which workflows need tuning and which team members need support.

Frequently asked questions

Do I need technical skills to set up workflows?
Not at all. The workflow builder uses a simple trigger-and-action model: pick what triggers the rule (e.g., "case moves to Demand stage"), then define the actions (e.g., "create task: Draft demand letter, assign to Lead Attorney, due in 14 days"). No code, no formulas, no IT department required. Most firms set up their complete workflow in under an hour.
Can different case types have different workflows?
Yes. Each case type — auto accidents, trucking accidents, premises liability, medical malpractice, product liability — can have its own complete workflow with unique stages, tasks, and automation rules. When you create a new case and select the case type, the appropriate workflow is automatically applied.
What happens when I change a workflow after cases are already using it?
Changes to workflows apply to future stage transitions only. Cases that have already passed a stage will not retroactively receive new tasks. This means you can safely modify and improve your workflows without disrupting in-progress cases. If you need to add tasks to existing cases, you can do so manually or use the bulk task creation feature.
Can I set up recurring tasks like monthly client check-ins?
Yes. You can create recurring task templates that repeat on a schedule — weekly, monthly, or at custom intervals. For example, "check in with client" every 30 days while the case is in the Treatment stage. Recurring tasks automatically stop when the case moves to the next stage.
How does this integrate with calendar sync?
Tasks with due dates automatically appear in your synced Google or Outlook calendar. When a workflow creates a task with a deadline, that deadline shows up on the assigned team member's calendar within minutes. Changes to due dates sync in both directions, so your team always has an accurate picture of what is coming up.
